Tasks are the core building block of Flowtask. Every task you create can carry a title, description, priority, due date, color, tags, and a reminder — giving you full context at a glance. This guide walks through everything you can do with tasks, from quick creation to bulk operations.

Creating a task

Click the inline task form at the top of any view — Today, Upcoming, or a project list — and start typing. At minimum, a task requires a title. Once you’re happy with it, press Enter or click Add Task to save. The quick-add form supports the most common fields. For full options, open the task detail panel after saving. Fields available at creation:
  • Title (required) — a short, descriptive name for the task
  • Description — optional notes, context, or acceptance criteria
  • Due date — supports natural language input (see Setting a due date)
  • Priority — high, medium, or low
  • Color — assign a color label for quick visual identification
  • Tags — one or more color-coded tags
  • Reminder — toggle to receive an email notification at the due time
  • Project — assign the task to a project or leave it in your Inbox

Editing a task

Click any task’s title to open the task detail panel on the right side of the screen. Every field is editable inline — click a field to activate it, make your change, and click away or press Enter to save. Changes sync instantly across all views.

Setting a due date

Open the date picker

Click the Due date field in the task creation form or detail panel, or press D with a task selected.

Type a natural language date

Enter a date in plain English. Flowtask parses it automatically:
tomorrow
next Monday
in 3 days
Dec 15

Set a specific time (optional)

After choosing a date, click the time field and enter a time. Toggle All day if the task has no specific time and you don’t need a timed reminder.
Flowtask understands flexible phrases like “end of next week” or “in 2 hours” in addition to standard date formats.

Priorities

Every task can be assigned one of three priority levels:

Set priority from the task creation form or the detail panel. Tasks are not automatically sorted by priority, so you can freely reorder them regardless of priority level.

Adding subtasks

Open the task detail panel and click Add subtask near the bottom of the panel. A new inline form appears below the parent task. Subtasks support titles and due dates, and they appear nested under their parent in list view.
Subtasks are limited to one level of nesting. You cannot create a subtask of a subtask.
Completing a subtask checks it off independently of the parent. The parent task is not automatically completed when all subtasks are done — you complete it manually.

Completing a task

Click the circle checkbox to the left of any task title to mark it complete. Flowtask plays a short completion sound and moves the task out of your active views into the Completed view. To find completed tasks, navigate to Completed in the sidebar. To undo a completion, navigate to the Completed view and click the checkmark again to restore the task to its original project or inbox.

Deleting a task

Open the options menu

Hover over the task and click the menu that appears on the right.

Click Delete

Select Delete from the dropdown.

Confirm

Click Delete in the confirmation dialog. This action cannot be undone.
Deleting a task also deletes all of its subtasks permanently. There is no trash or recovery option.

Bulk operations

When you need to act on several tasks at once, use bulk selection instead of editing tasks one by one.

Select multiple tasks

Click the first task, then Shift+click any additional tasks. Each selected task shows a filled checkbox. You can Shift+click again to deselect.

Use the floating toolbar

A floating toolbar appears at the bottom of the screen with the following actions:

Press Escape to deselect all tasks and dismiss the toolbar.

Drag-and-drop reordering

In list view, drag any task by its handle (visible on hover) and drop it in a new position to reorder it. In board view, drag task cards between columns to move them to a different section, or drag within a column to reorder. The order is saved automatically and persists across sessions. Sorting by due date or priority overrides your manual order, so switch back to Custom order if you want to restore drag-and-drop positioning.

Overdue tasks

If a task’s due date passes without being completed, it moves to the Overdue section inside your Today view. Overdue tasks are highlighted to make them easy to spot. To reschedule an overdue task, open it and update the due date. The task will move out of the Overdue section and back into the appropriate upcoming view.
